Minutes
1) Call to Order and Quorum
Meeting was called to order at 6:07 pm.
In Attendance: Yasmine, Sachin, Dominique, Cesar
2) Financials
The Board discussed the transition from Associa to Jill Rubin of the Calas Group for accounting services for the Islander.
-Jill to finalize Accounts Receivable and prepare initial financial statements by the end of week.
-Ric to update invoicing address for all vendors of the Islander Club
-Ric to pick up last of checkbooks from Banco Popular for special assessment account
-Ric to provide a list of units that closed over last 6 months to Jill, so that she can finalize A/R
-Ric to send mailing to owners informing them of new address.
3) Hallways
It was noted that demolition of the lobby and 2nd floor area was about to commence. A general discussion of progress and finishes for final repair ensued. Light fixtures for hallways are still to be determined. Significant energy savings using LEDs with a warm color rating (2700-3300K). Door frames to be sanded down and repainted. Dark trim baseboard to be installed. Specific paint colors to be decided.
4) Security Cameras
The Board gathered several bids for installation of new security cameras and replacement of existing cameras with updated technology. The board evaluated bids from Tech Pro, Teletec, and Gopi Solutions. The proposed bid by Gopi Solutions included 58 cameras total. On each floor, each side of the hallway, the elevator landing, and the trash rooms would all be wired with new cameras. Additional cameras would be placed in the Islander Office, Lobby, and Pool Area. Cameras would be placed in each elevator. Wiring to take place prior to sealing hallway ceiling with drywall.
The Board voted in favor of the Gopi Solutions bid.
5) Elevators & Line of Credit
It was noted that Austin Electric had begun work in the electrical room but had not provided a specific schedule to finish upgrades. Sachin to follow up with Austin Electric, Bass, and Connections to coordinate work.
It was also noted that the line of credit for the elevators would convert to a loan at the end of the month. The amortization schedule to be included as part of 2018 budget.
6) Associa Performance
A brief recap was discussed as to why accounting was moved from Associa to Calas group. Numerous checks and payments had not been deposited. Unauthorized debits to owners with ACH were being drafted. The Board discussed in particular that during the transition, Associa had not shifted control of the Association lockbox over to Jill creating further hurdles to a smooth transition.
7) Ratification of Previous Minutes
The Board ratified meeting minutes for the board meeting taking place on 12.11.17.

The meeting was adjourned at 7:18 pm.
