How to Fill Out Your Ballot
If you can attend the meeting:
1) Fill out the yellow ballot
Mark the candidates that you intend to vote for on the yellow candidate sheet.
Just mark an X next to the five (5) or fewer people you intend to vote for and that's it, otherwise your ballot can be invalidated.
DO NOT SIGN YOUR NAME, YOUR UNIT NUMBER, OR PLACE ANY OTHER MARKINGS ON THE ACTUAL BALLOT. DO NOT VOTE FOR MORE THAN 5 CANDIDATES.
ALSO, MAKE SURE TO USE THE BALLOT DATED OCTOBER 12th! THE BALLOT NEEDS TO BE THE YELLOW ORIGINAL. IF YOU DON'T HAVE THIS FORM, PLEASE CONTACT ASSOCIA TO GET A COPY ASAP.
2) Place the yellow ballot inside the yellow envelope.
DO NOT SIGN YOUR NAME, UNIT NUMBER, OR PLACE ANY OTHER MARKINGS ON THE YELLOW ENVELOPE.
3) Place the yellow envelope inside of the Signature Envelope with the 'Ballot Enclosed' Cut Out.
WRITE YOUR COMPLETE RETURN ADDRESS INCLUDING YOUR UNIT# AND ACCOUNT NUMBER IN THE UPPER LEFT AND MAKE CERTAIN TO SIGN THE ENVELOPE. UNSIGNED ENVELOPES WILL BE INVALIDATED.
ALSO, IF YOU HAVE FILED A VOTING CERTIFICATE, THE NAME ON THE VOTING CERTIFICATE MUST MATCH THE PERSON WHO SIGNED ON THE EXTERIOR ENVELOPE.
NOTE: I've left my Account Number out of this picture to avoid any ID theft issues.
4) Show up to the election meeting on Thursday October 12th @ 7:00 pm and hand this completed envelope to management at the time of the election.
If you cannot attend the meeting:
1) Do everything above.
2) Complete the Proxy Form.
Complete the proxy form designating Sachin Bhandari or Yasmine Kotb as your proxy holder. Your proxy holder does NOT vote for you. The proxy is used towards counting the total number of voters present so that an election can actually take place. Filling out the proxy form is fairly self-explanatory.
IF LESS THAN 20% OF THE ASSOCIATION IS PRESENT OR FILES A PROXY (18 VOTES), THEN THERE IS NO ELECTION AND THE EXISTING BOARD IS REINSTATED AUTOMATICALLY.
IF YOU HAVE FILED A VOTING CERTIFICATE, THE NAME ON THE VOTING CERTIFICATE MUST MATCH THE PERSON WHO SIGNED THE PROXY.
2) Place the proxy in the 2nd return envelope with the 'Proxy Enclosed' Cut Out.
The proxy is placed in a separate envelope so that it can be opened prior to the election meeting, and so that when designated proxy holders show up, the number of voters present can reach the threshold of 20% percent (18 voters).
3) Mail the proxy and ballot envelope in. Get the mail expedited as the election is on Thursday and get a tracking number with proof of delivery.
The small cost of this is worth it for a new Board that will put your money to work more wisely.
Voting Certificates:
Voting Certificates are only used in situations where there are multiple owners who are not married, or if a corporate entity owns the unit. If you don't fall into these categories, there is no reason to fill out a voting certificate.
Filling out the voting certificate is fairly self-explanatory.
If multiple owners are present, designate one of them to be the 'designated voter' and have all owners sign.
If a corporate entity is filling this out, all of the owners of the corporate entity must sign the voting certificate.
If you are mailing in a proxy form, the voting certificate can be enclosed in the envelope with the proxy. Alternatively, it can be hand delivered to the association if you plan to attend or live near the building.
THE VOTING CERTIFICATE MUST BE RECEIVED BY THE ASSOCIATION PRIOR TO THE ELECTION MEETING.
ONCE A VOTING CERTIFICATE IS FILLED OUT, ONLY THE VOTING CERTIFICATE DESIGNEE MAY SIGN FOR THE ELECTION BALLOT AND PROXY FORM.
